CORPORATE EMAIL FOR COMMERCIAL CONTRACTORS
Your estimating team needs more than an email address.
Build a consistent company identity, define account ownership and give your team an email setup with documented access and authentication controls.
Plan the migration before changing the records.
A company-domain address makes your business identity consistent across estimates, proposals and buyer communications. The security work is in account administration, authentication, device access and the way your team handles information. Simply replacing the suffix on an address does not establish compliance.
We first define the people, mailboxes, aliases and authorized senders in scope. We agree on what needs to move, who approves the cutover and how existing business mail will be checked before changes are made. Mailbox counts, historical migration volume and software licensing are confirmed before work begins.
SPF identifies authorized senders; DKIM adds a domain-linked digital signature; DMARC connects authentication to the visible sending domain and provides policy and reporting mechanisms. Configuration needs to account for every legitimate sender, including business software. An enforcement policy should follow validation, not a blind DNS change.
For bid documents and financial information, follow the buyer’s approved submission route. A free email address is not automatically disqualified by every general contractor, and a custom domain is not a CMMC or NIST certification. Contract-specific requirements and the data involved determine whether specialist security work is necessary.
