PRACTICAL GUIDE / BUYER REQUIREMENTS

Prepare the evidence before the invitation.

A polished website supports a buyer’s review. A complete qualification submission depends on the actual project, required documents and the channels the buyer approves.

1. Read the buyer’s requirements first.

Identify the legal business name, trade scopes, license evidence, insurance, safety, financial and bonding information requested. Record the deadline and responsible person. Do not substitute a generic online readiness score for the buyer’s checklist.

2. Confirm account ownership and authentication.

Document who administers your domain and mailboxes, enable supported MFA and inventory authorized senders. SPF, DKIM and DMARC serve different roles. DNS record presence alone does not prove alignment or successful signing; review representative message headers with your administrator.

3. Make capability evidence accessible.

Give reviewers a mobile-friendly summary of your actual services, project role, approved references and current contact details. Verify license information against the relevant issuer before publishing it. Link to current approved documents instead of circulating uncontrolled versions.

4. Protect the private submission.

Use the buyer’s specified prequalification portal or approved access-controlled transfer process for W-9s, financial statements and sensitive records. Restrict access and review permissions. Encryption terminology alone does not demonstrate that the complete workflow is secure.

5. Complete the required platform fields.

If invited to BuildingConnected, ISNetworld or another platform, follow that buyer’s requirements and the platform’s current workflow. Maintain accurate authorized information and renewal dates. Vanguard does not confer platform approval or act as an affiliated certifier.

6. Separate cyber controls from insurance decisions.

Your broker or insurer assesses coverage and underwriting using its own questions and policy terms. Answer those questions accurately and provide evidence for the controls you claim. A website build or domain scan does not establish insurability.

7. Check the submission and assign the next action.

Confirm files open, required fields are completed, dates are current and the authorized contact receives the buyer’s acknowledgment. Track missing items and renewals. A submitted form is not an approval or award.
